This article describes the actions that the Prospectus Author must take when submitting the prospectus information for the course.
Introduction
Each year around March, you will receive a notification as soon as the process ‘Prospectus information course’ starts in TimeEdit. The Prospectus Author is the first to receive the task in this process.
Tasks to do
You can find your task on the left side of the dashboard. Click on it to open the workflow. You can find more information about tasks in 3. How do I handle a task?
Process, workflow, pages
Each process consist of workflows. This workflow 'Delivering prospectus information study programme consists of the following pages:
- On the pages 'Welcome (with comments)', ‘General details’, you will find general information. You don’t need to do anything here.
- On the pages ‘Relations’, ‘Location for prospectus, 'Cross-curricular skills’, ‘Description course’, you will enter the content that will be published in the prospectus.
- The ‘Prospectus notes’ page is intended for internal discussions.
- On the ‘Complete’ page, you can finalize the workflow and forward it to the Reviewer Prospectus.
Navigate
You can navigate in two ways:
- Use the Next and Previous buttons.
- Click on the page headings to go to the corresponding page.
Assign to me
Sometimes you work on a prospectus text together with multiple Authors. To keep track of who is working on it, you can temporarily assign the workflow to yourself. This way, your colleagues can see that you are working on it.
Click on Unassigned in the top-right corner and then click Assign to me.
Your name will then appear at the top of the workflow. The other Prospectus Author can still edit the workflow, but will see that you are working on it.
Once you’re finished, you can remove the assignment by clicking on Unassign.
Welcome (with comments)
On this ‘Welcome’ page, you can read what is expected of you in this workflow. If the Reviewer Prospectus has provided comments, it will also be displayed on this page.
Prospectus notes
Use this page to add notes for discussions with your colleagues. These notes will not be shown in the prospectus.
How do you add fellow Authors?
- Click Add
- The following screen will appear.
- Search for the colleague you want to add in the search bar
- Click Search
- Click Save.
The colleague Author is now also listed under Prospectus Author for the course
General details
On this page you can view the basic details of the course. This screen is for viewing only, not for editing.
The 'PLEASE NOTE, FILL IN', is an important field for the curriculum processes and is shown here for viewing only.
Location for prospectus
On this page you specify the location where the teaching will take place. This location will be published in the prospectus.
Offered as
On this page, the different types of education are presented. It also outlines the additional options for taking the course.
Cross-curricular skills
You can add cross-curricular skills in two ways:
• Add in bulk
• Add individually
Add in bulk
Click the Bulk Select button. This allows you to add multiple cross-curricular skills. Check the cross-curricular skills that are addressed in this subject. The skills will then be added automatically
Add individually
- Click the 'Add' button.
- Then fill in the 'Contributes to' field at the bottom (this is mandatory).
- After that, click Save
Description course
All the headings that you, as a Prospectus Author course, can fill in or edit on the 'Course Description' page are listed here

This is how the headings appear in the prospectus. If a heading is empty, it will not be displayed in the prospectus.
Please note: This is a preliminary example from the new prospectus, which is still under development.
Formatting
The text can be formatted as:
- B = Bold
- I = Italic
- Numbered list
- Bulleted list
You can insert a link.
- URL: This is the address of the webpage, e.g. https://www.universiteitleiden.nl
- Link text: The text that appears on the screen and is displayed in the prospectus.
Markdown means that you can see the formatting of the fields.
WYSIWYG means: What you see is what you get.
Translate
The description of the study programme can be displayed as follows:
- One language
- Side by side
- Below one another
If you click Translate, the text will be translated automatically. The original language can be formatted in either English or Dutch and translated into Dutch or English.
Don’t forget to click Save after translating, so your changes are actually stored.
Complete
The final page is ‘Complete', where you finalize the submission by selecting ‘Send'. This action submits the prospectus information for the course to the Reviewer for verification.
This pop-up will appear. Here, you can add a comment for the Reviewer, if you wish. This is optional. Then click ‘Send’ again. The process will then appear on the Reviewer’s dashboard.
