1.3 Approve prospectus information study programme

This article describes the actions the Chief Editor must take when approving the Prospectus information of the study programme.

Introduction

The Chief Editor Prospectus is:

  • Process owner within the TEC Prospectus environment.
  • Responsible for starting, stopping, and taking over processes.
  • Creating overviews and insights for the organisation.
  • Accountable for publication of information to the Prospectus.
  • Working with a dedicated workflow to edit Prospectus texts for the study programme.

Tasks to do

When the reviewer has completed their workflow, it is forwarded to the Chief Editor Prospectus. A task will then appear in the Dashboard under Open tasks. Click the task to open it. The task remains visible in the Dashboard until the workflow has been completed. You can find more information about tasks in this article

On this page, you will find all changes that have been made to the prospectus texts. This article explains how to interpret the displayed changes.

Prospectus notes

Use this page to add notes for discussions with your colleagues. These notes are only visible to you and your colleagues and will not be shown in the prospectus.

This page displays the structure of the study programme, as determined in the curriculum process. Click Expand all to view the complete study programme.

Description study programme

For Reviewer Prospectus and Chief Editor Prospectus this page opens by default in changes mode.

The page can be displayed in three different modes: Changes, Preview, and Edit. The explanation below describes what each mode entails.

Changes (1)

This opens an overview of all changes made to this object. In this overview, you can usually see:

  • Which fields have been modified.
  • What the old and new values were.
  • Who made the change
  • On which date and time the change was made.

Preview (2)

With Preview, you can see how this object will appear to the end user, typically:

  • How the information is displayed in the Prospectus
  • Without the editable fields
  • This is therefore a preview of the publication version.

Edit

Use this button to enter input and edit mode. In this mode, you can:

  • Edit the text.
  • Add or remove items.

How can you view the changes that have been made to the texts?

That is explained in this article.

How can you make changes to the text yourself?

Click Edit.

The text can now be modified and saved. If desired, you can return the process to the reviewer after completing this workflow. In that case, specify on the Prospectus Notes page which adjustments the reviewer needs to make.

On this page, you can approve the general information about the content of the study programme.

On this page, you can add various relevant hyperlinks. How to do this is explained under Formatting.

These links are displayed in a separate section Links of the prospectus, listed one below the other.

Please note: This is a preliminary example from the new prospectus, which is still under development.

Complete

By completing this workflow, the process will be moved to the status ‘Ready to publish’. From that status, the prospectus information will be published on the upcoming 1st of June by the Chief Editor Prospectus.

You can also choose to reject the workflow; in that case, it will return to the previous process status, to the Prospectus Reviewer. When rejecting, you will have the option to add comments
