4. How do I manage and use reports?

In this article, we will show you how to call up a report, how to modify a report once, and how to create templates for yourself.

Reports in TEC

Reports can be retrieved from several locations in TEC. They basically work the same everywhere. You can recognise that a screen is a report by the two buttons on the right-hand side: “Template: name” and “Customize report”.

You can access the screen shown in the screenshot above from the dashboard as follows:
Click on “Faculties”. Then click on the “Details” button for the faculty you want to view. Next, click on the “General” drop-down menu and select “RIO and LRO”. You are now in the “Specialisations” tab of the “RIO and LRO” menu for the faculty you have selected.

Button 'Template: name'

The reports displayed by TEC have a specific structure. When you click on the “Template: name” button, you will often find additional report settings. Take your time to go through them and see if these templates are suitable for your needs.

You will probably want to make minor (or major) changes to the overview. Fortunately, this is possible...

Button: 'Customize report'

With “Customise report”, you can customise the report (almost) entirely to your liking. First, you will see the names of the columns that are currently displayed in the report. You can remove these columns from the report by unchecking them here.
When you scroll down “Customise report”, you will see headings. Each of these headings contains a number of possible columns. You can add these columns to the report by ticking them here. If you have unticked columns, you can find them under their respective headings.

The column you tick will appear last in the report. You can arrange the columns in any order you like by moving them around in this Customise Report screen.

You can also see how many columns you could add. This specific report can consist of up to 27 columns. There is simply no more information available. If you view the report for Courses, for example, you have significantly more column options.

Personalized reports

Once you have customised your report to suit your needs, you can save it. Click on the “Save as new” button and give the overview a name that you can use. You are saving this overview for yourself. (If the overview needs to be visible to others, please contact FB-SOZ.)

After saving, this template will only appear in your list of report templates.

A template is also linked to the report on which you created it. A template that you create for courses is not available for Rio and LRO.

You can delete or edit this personal report template at any time. When you hover your mouse over the name, the edit and delete buttons will appear.

You can edit public templates “for now”, but you cannot save them.

Year-bound?

The observant viewer will have noticed that reports have a drop-down menu for the year in the top right-hand corner. The content of reports is year-specific. The templates themselves are not year-specific. This means you don't have to rebuild your favourite report every year.
