1.1 Preparing the Curriculum

Every year around the first of October, the Programme coordinator receives a notification as soon as the “Preparing the curriculum” process starts in TEC.

The Programme coordinator is the first person assigned a task in this process. The first step is called “Define curriculum”. In this step, it is the Programme coordinator's task to build the curriculum. This means:

•    Adding, removing or moving subjects to the correct teaching period;
•    Linking teachers and ‘subject study guide authors’ to subjects;
•    Ensuring that all basic information is correct and complete.

Once you have started the task ‘Define curriculum’ via your dashboard, the workflow will open on the Welcome page.
The pages of this workflow are listed in the grey bar.

The pages are intended for viewing and adjusting the curriculum. In the list view, you can see everything in a hierarchical structure, while in the planning board view, you can see the same information based on the offering period. You can adjust the curriculum in the list view. You can then check the curriculum again in the planboard view. In both views, you can use the Changes button to see which parts have been changed.

Course overview and report

Next is the page 'Course overview and report'. Here you will find a complete list of all courses within this educational programme. You can easily download this list. Use the Customize report button to change the information in the report and create your own report template. You can save this template. For more information about creating, changing and saving reports, see the manual How do I manage and use reports?

Complete

The last page is Complete. Here, you finalize the Defining of the curriculum by clicking on Finish. This submits the curriculum to the Approver. When you click on the Finish button, a pop-up appears in which you can provide the Approver with an explanation of the proposed changes to the curriculum.

 

Adding Courses

Please note: the legend is outlined in yellow above. They may appear to be buttons that you can click on, but they are not; they are part of the legend. The buttons outlined in red are the ones you can use to add, remove or edit subjects.

From the list view, you can add, change or remove subjects.

Adding a course

In the structure (in the correct section), click on the + sign (circled in red above) and select ‘Add course’.

A pop-up window will open where you can choose an existing course or create a new one. If you need an existing course, make sure you have clicked on the “Existing” tab at the top, then search for the relevant course by entering (part of) the name or prospectusnumber. If you want to create a new course, select “New” at the top and enter the course title in Dutch and English. Click on Save (or Add).

 

After clicking Save (or Add), the new workflow Define Course will open immediately. We have a separate manual for this: 2.1 Define Course.

If you want to continue building the structure, click on the Cross icon in the top right corner to remove the Define Course workflow. You will now find this task on your dashboard under Tasks.

The newly created (incomplete) course is visible in the structure, crossed out and marked with the message “Code missing”. You can add the information for the new subject (via the Define Course workflow) from the dashboard via Tasks.

Deleting courses

There are two types of courses: “own” courses and “borrowed” courses that appear in the curriculum but are not owned by it. “Borrowed” courses are shown with a key icon in front of the propectus number. These courses cannot be changed, only moved within of removed from the curriculum.

Own courses

Click on the bin icon to delete a course. You will be shown the following screen:

Remove from study programme
This means that you will no longer offer this course in your “own” programme, but that the course will still be offered/borrowed in other programmes. The course will appear in the prospectus for the other programmes.

Remove offering
O
nly use this option if a course is offered on an “alternating” basis: i.e. one year yes, the next year no (it can also be once every three years). The course (without an offering) remains in the structure, but does not appear in the prospectus. So the following year (when it is offered again), you will automatically see the course in your structure and you can easily link an offering to it.

Terminate course
Only use this option when a course is no longer offered as a “separate” course. The course does not disappear from TEC, but is given the status “terminated”. It does not appear in the prospectus, other programmes cannot “borrow” the course, and the course is not included in the year copy.

Moving courses

You can move courses within the curriculum. To do this, click on the “move” icon. A pop-up will appear with an overview of the sections to which you can move the subject:

Click on the name of the place in the curriculum where the course should be placed. The arrow in front of the name will change from a down arrow to a sideways arrow. Click on Move.

You can only move a course within a programme in this way.
If you want to move a course to another programme, remove the course from this programme and add it to the other programme.

Change courses

There are two types of changes:
1.    Changes to methods and/or assessments; these are changes that (may) have a major impact on uSis (and TermTime);
2.    Other changes; these include the offering period, lecturer, exchange course, cross-curricular skills, etc.

1. Changes to methods and/or assessments

These changes can have a major impact on uSis and TermTime. That is why a separate process has been set up that you can start as Author. Search for the course using the search screen:

Go to the course, to the General page, and reopen the Edit existing course process there.

Next, start the “Existing module - edit” workflow, which allows you to edit everything in a course (including Other changes). Once you have finished, the changes will be sent to your FFB officer, who will check them and determine whether a completely new course needs to be created.

2. Other changes

You can edit “own” subjects, subjects without the key icon, using the edit icon. Here you can edit the Additional information, Offer period, Lecturers and Cross-curricular skills. We have a separate manual for Other changes. (still to be made)

After the January deadline, any changes to a course must be made via the Existing Course - Edit workflow. The pop-up workflow mentioned above will then be disabled. This is because changes to the offering period or, for example, student numbers could also cause changes in the software after TEC.
