What should you do if you want to edit data in an existing course?
During the first part of the year, you can use a shortcut for some of the data.
For adjustments methods and assessments you can use the Edit existing course process.
You may not remove a method or assessment from an existing course.
If you do so, information will disappear from uSis. For example: results achieved on a course will no longer be available.
The procedure to follow is described below.
Short-cut
You can adjust “owned” subjects (subjects without the key icon) in the curriculum processes by using the edit icon in the structure - list view. Here, you can adjust the Additional details, Offered period, Staffing (FGW), Relations and Cross-curricular skills. This is possible until the moment the timetables are being drawn up. After that, this shortcut is closed, and any changes must be made via the Edit existing course process.
Data that cannot be modified is are shown on Read-Only (RO) pages. If the data you wish to modify is located on these pages, you must use the Edit existing course process.
Adjustments in Methods and Assessments
These changes can have a major impact on uSis and TermTime. This is why two different processes have been set up for “Edit new course” and “Edit existing course”. The “Edit existing course” process can be initiated by the Programme Coordinator
Find the course using the search screen.
In the course, click on Reopen at Edit existing course.
Next, start the Existing course - edit workflow, which allows you to edit much of the data in a subject, but not everything. The basic data, for example, cannot be edited.
Changes to the methods and assessments are possible. Unfortunately, TEC allows more changes to be made to methods and assessments than is procedurally permitted. Deleting existing methods and assessments is not permitted, but it is possible in TEC. Therefore, please do not do this.

After completion, the changes are sent to the uSis Administration, which checks them and verifies whether a completely new course needs to be created due to the desired changes.

Click on Submit on the Complete page. You are obliged to make a comment on what you changed and why. By clicking Send the course will then be placed in the next workflow for the uSis Administration.
Existing course - process detail adjustments
The uSis Administration role will assess whether the changes can be implemented or a new course needs to be created.
If the course is rejected, it is returned to the creator with the comment: Create new course (or whatever change is required).
In the example above, the changes have been approved and will be checked one last time before being transferred to uSis.

Courses for uSis: in this workflow a final check is done on the information that is required for uSis.

Approved & Not to uSis & Waiting room
Approved is the status that the process gets when the previous steps have been executed and the last step has been completed.
Not for uSis: not every course needs to go to uSis. When the tic for uSis has been turned off on the page Additional Details, the course will not go to the status Approved, but to Not for uSis.
Waiting room
This status exists for application management only. We cannot make it not show up in the dot-line, but it has no function within the process for end-users.
