This article describes the actions that the Chief Editor Prospectus must take when approving the prospectus information of the course.
Introduction
The Chief Editor Prospectus is:
- Process owner within the TEC Prospectus environment.
- Responsible for starting, stopping, and taking over processes.
- Creating overviews and insights for the organisation.
- Accountable for publication of information to the Prospectus.
- Working with a workflow dedicated to edit Prospectus texts for the prospectus information course.
Tasks to do
When the reviewer has completed their workflow, it is forwarded to the Chief Editor Prospectus. A task will then appear in the Dashboard under Tasks to do. Click the task to open it. The task remains visible in the Dashboard until the workflow has been completed. You can find more information about tasks in this article.
Please note that screens may vary slightly due to ongoing configuration and continuous improvements in TimeEdit.
Process, workflow, pages
Each process consists of workflows. This workflow 'Check prospectus information course' consists of the following pages
- On the page Welcome (with comments) might contain feedback that is added by the author (it wasn't a mandatory field to fill out). You don’t need to do anything here.
- The page Description report shows all modifications related tot he prospectus text. It is possible to generate and export a report from this page.
- The page Prospectus notes is intended for internal consultation.
- The pages Relations, General details, and are for your information, no action possible.
- You will work with the pages Location for prospectus, Transferable skills and Description course. These pages are used to check the prospectus content submitted by the author.
- With the Complete page you can complete the workflow and submit it to Ready for publication.
Navigate
You can navigate in two ways:
- Use the Next and Previous buttons.
- Click on the page headings to go to the corresponding page.
Description report
On this page, you will find all changes that have been made to the prospectus texts. This article explains how to interpret the displayed changes.
Prospectus notes
Use this page to add notes for discussions with your colleagues. These notes are only visible to you and your colleagues and will not be shown in the prospectus. Note: it is possible to (accidentally) delete a colleague’s text. No logging takes place, so the deleted text cannot be recovered.
General details
On this page you can view the basic details of the course. This screen is for viewing only, not for editing.
The 'PLEASE NOTE, FILL IN' is an important field for the curriculum processes and is shown here for viewing only.
Location for prospectus
This page shows the location where the teaching will take place. This location will be published in the prospectus. The default location is Leiden, this can be changed if needed.
Offered as
This page is for viewing only.
Transferable skills
On this page, you perform the final check. Here, the transferable skills are displayed and can be changed if needed.
Description course
On this page, you perform the final check. Here, the course-specific prospectus information is displayed and can be changed if needed.
Complete
The final page is Complete, where you finalize the submission by selecting Send. This action submits the prospectus information for course to Ready for publication.
This pop-up will appear. Here, you can add a comment if you wish. This is optional. Then click Send again. By completing this workflow, the process will move to the status ‘Ready to publish'. From that status, the prospectus information will be published on the upcoming 1st of June by the Chief Editor Prospectus.
You can also choose to reject the workflow; in that case, it will return to the previous process status, to the Prospectus Reviewer. When rejecting, you will have the option to add comments.
