2.2 Check prospectus information course

This article describes the actions that the Prospectus Reviewer must take when checking the prospectus information of the course.

Role of the Prospectus Reviewer:

Tasks to do

When the Prospectus Author has completed their workflow, it is forwarded tot he Reviewer Prospectus. A task will then appear on the Dashboard  under Tasks to do. Click on the task to open it. The task will remain visible on the Dashboard until the workflow has been completed. You can find more information about tasks in this article.

Process, workflow and pages

Each process consists of workflows. This workflow 'Check prospectus information course' consists of the following pages:

You can navigate in two ways:

  1. Use the Next and Previous buttons.
  2. Click on the page headings to go to the corresponding page.

Process progress

To view which processes are currently in which phase, go to the Process progress section:

  • Reports
  • Processes
  • Process Progress
  • Module
  • Prospectus Information Course - Regular

When you open this section, an overview appears showing all outstanding prospectus information for study programme processes across all faculties. 

  • The top bar displays a count of all open processes per status for the entire university.
  • Select your faculty and then select, for example, the Check phase.

 

  • '2' indicates that there are two processes open with this status.
  • Click Check again to view the study programmes that are currently in the Check phase (assigned to the reviewer).

On this page you can read what is expected of you in this workflow. 

Description report

On this page, you will find all changes that have been made tot he prospectus texts. This article explains how to interpret the displayed changes.

Prospectus notes

Use this page to add notes for discussions with your colleagues. These notes are only visible to you and your colleagues and will not be shown in the prospectus. Note: it is possible to (accidentally) delete a colleague’s text. No logging takes place, so the deleted text cannot be recovered.

This page shows the Prospectus Authors, Module coordinator and lectures. 

General details

On this page you can view the basic details of the course. This screen is for viewing only, not for editing.

The 'PLEASE NOTE, FILL IN' is an important field for the curriculum processes and is shown here for viewing only. 

Location for prospectus

This page shows the location where the teaching will take place. This location will be published in the prospectus. The default location is Leiden, this can be changed.

This page is for viewing only. 

Methods and assessments

This page displays the work and assessment methods that have been established in the curriculum.

Transferable skills

You can review, change and add transferable skills on this page. You can change transferable skills in two ways.

  • Add in bulk.
  • Add individually.

Change 

Add in bulk

Click  Bulk Select. This allows you to add multiple cross-curricular skills. Check the cross-curricular skills that are addressed in this subject. The skills will then be added automatically.

Add individually

  • Click Add.
  • Fill the field 'Contributes to' at the bottom (this is mandatory).
  • Click Save

Description course

On this page you review the texts submitted bu the Prospectus Author. For Reviewer Prospectus and Chief Editor Prospectus this page opens by default in Changes mode.

The page can be displayed in three different modes: Change, Preview and Edit. The explanation below describes what each mode entails.

Changes (1)

This opens an overview of all changes made to this object. In this overview, you can usually see:

  • Which fields have been modified.
  • What the old and new values were.
  • Who made the change.
  • On which date and time the change was made.

In short, this is the change log/audit trail of the object. 

Preview (2)

With Preview, you can see how this object will appear to the end user, typically:

  • How the information is displayed in the Prospectus.
  • Without the editable fields, internal labels or workflow-elements. 
  • This is therefore a preview of the publication version.

Very useful for checking:

  • Does the text look correct?
  • Are the sections, order and fields correct?
  • Is all information visible as intended?

Edit (3)

Use this button to enter 'input and edit' mode. In this mode, you can:

  • Edit the text.
  • Add or remove items.

How can you view the changes that have been made to the texts?

That is explained in this article.

How can you make changes to the text yourself? 

  • Click Edit.
    The text can now be modified and saved. If desired, you can return the process to the author after completing this workflow. In that case, specify on the Prospectus Notes page which adjustments the author needs to make.

Complete

The final page is Complete, where you finalize the submission by selecting Send. This action submits the prospectus information for course to the Chief Editor Prospectus.

This pop-up will appear. Here, you can add a comment for the Chief Editor Prospectus, if you wish. This is optional. Then click Send again. The process wil then appear on the Chief Editor Prospectus' dashboard. 

Note: if there are no Prospectus Authors linked tot his process, the button 'Reject' will not be shown! 

Reject

You can also choose to reject the workflow. in that case, click Reject. The pop-up below will appear. Here, you can add a description of the change(s) that need to be made by the Prospectus Author. This description is mandatory *. Then click Reject again. The process will then appear on the Prospectus Authors dashboard again.
